2024 Annual Meeting Affiliate Meeting Application Form

Applications will not be accepted after September 20, 2024.

Thank you for considering an affiliate group event during the GSA 2024 Annual Scientific Meeting (ASM) in Seattle!  All affiliate group event space requests for the GSA 2024 ASM must be arranged through GSA’s Meetings Department. Event space is only available to individuals or organizations attending the conference.

Affiliate event space is $600 per day, per event. You must fill out a form for each day/each event you are requesting space for.

All affiliate space will be located in the headquarters hotel, the Sheraton Grand Seattle. Once your application has been submitted and fee has been paid, the meetings department will contact you with information on your space assignment and make introductions with the hotel staff and AV department to complete coordination of your event.

All event coordination and payments for AV and catering will be done directly with the hotel and AV provider. GSA is not responsible for any financial obligations that result from your function(s).

Notifications of acceptance and assignment of space will be communicated within 2 weeks of your submission. Space is assigned on a first come, first served basis.

Due to high demand for meeting space, we cannot guarantee that we will be able to schedule your meeting. If we are unable to meet your request, we will refund the fee and refer you to a nearby hotel that may be able to assist you. Changes or edits to your meeting dates/times cannot be guaranteed.

Application Fee

The affiliate application fee is $600 per event space, per day. If you are having multiple days of events, a form and payment must be submitted for EACH event for each day.

The GSA Affiliate meeting space fee is non-refundable unless the conference facilities are unable to accommodate your requests as outlined in this form. All cancelation requests must be submitted in writing to meetings@geron.org by September 6, 2024 with a clear explanation of how your needs were not met.
